Faculty and Staff Phones

Each department is responsible for purchasing its own phone sets. IP phone sets must be purchased through Information Services.

Ordering a new phone line requires an account number for charges and an indication of whether a voicemail account is to be associated with the line.

The faculty or staff member ordering the new line should send the necessary information to HelpDesk@kzoo.edu or call 269.337.5800.

Telephone Quick Guide

For a Cisco VoIP phone:

  • To call on campus – Dial: last 4 digits of phone number
  • To call off campus – Dial: 9 + complete number with area code
  • To call long distance – Dial: 9 + follow instructions on calling card
  • To make a 3-way call – Dial the first number + after the answer, select flash + dial the second number + select flash
  • To put person on hold & make another call – Dial the first number + select flash + dial the second number; after hanging up select flash
  • To Transfer a call – Select flash + dial number and hang up
  • To Forward all calls – Press the CFwdAll softkey + dial the complete number (including 9 for outside, local line)
  • To cancel call forwarding – Press the CFwdAll softkey

For an Analog (non-Cisco) phone:

  • To call on campus – Dial: last 4 digits of phone number
  • To call off campus – Dial: 9 + complete number
  • To call long distance – Dial: 9 + complete number with area code
  • To make a 3-way call – Dial the first number, after the answer, select flash; dial second number, select flash
  • To put person on hold & make another call – Dial the first number, select flash, dial the second number, after hanging up select flash.
  • To Transfer a call – select flash, dial the number, and hang-up
  • To Forward all calls – Dial: **1, enter the complete number (including 9 for outside, local line)
  • To cancel call forwarding – Dial: **2 and hang up
  • To leave a message directly in someone’s voicemail without ringing their phone – Dial *1 + their extension

Cell Phones

Sprint is the primary vendor for campus cell phones. Purchases can be arranged via the College Business Office. For more information, please see the College’s Cell Phones and Mobile Devices purchasing policies.

Voicemail

Voicemail is available on faculty and staff phone lines.

Note: Not all phone lines have voicemail, but it is available. Contact the Help Desk 269.337.5800 or HelpDesk@kzoo.edu for more information.

Voicemail Setup Instructions

Follow these instructions to set up your voicemail account:

  1. From your phone dial 1000 to reach the voicemail system
  2. You will be prompted to enter your voicemail password. The first time you sign in, enter your initial voicemail password followed by # (if you don’t know your password, contact the Help Desk)
  3. You will be prompted to set up your voicemail box, entering your name, default greeting, etc. Follow the prompts as directed. You will also be prompted to change your voicemail password.
  4. Continue listening until the prompt indicates that you have completed enrollment of your voicemail box.

Checking voicemail on your campus phone:
  1. Dial the access number: 1000
  2. At the prompt, enter your voicemail password.

Checking your voicemail off campus:
  1. Dial the access number: 269.337.7420
  2. When the greeting begins to play, press *
  3. You will be prompted for your ID; enter your 4-digit extension, followed by #
  4. You will be prompted for your password; enter your voicemail password.

Listening to your messages:

Press 1 at the voicemail menu. Other message options include:

  • Replay Message 1
  • Save Message 2
  • Delete Message 3
  • Save Message as New 6
Recording your greeting message:

Press 4 + 1 + 1 at the voicemail menu

Recovering a deleted message:

After you delete a message it remains recoverable for 24 hours. You can access your deleted messages through the saved messages menu (option 3). Follow the voice prompts to recover your message. Specifically:

  1. Sign in to voicemail
  2. From the main menu, press 3 for saved messages
  3. Press 2 for deleted messages
  4. Press 1 to review your deleted messages
  5. After the message plays, press 2 to restore the message

Call Forwarding

Kalamazoo College offers call forwarding to employees with a local phone number with the area code (269).

If you have physical access to your Cisco phone

  1. Press the ‘CFwdALL’ or ‘Fwd All’ button
  2. The phone will beep twice
  3. Enter 9 plus the complete phone number (for example, 93431234)

To cancel forwarding, press the ‘CFwdAll’ or ‘Fwd Off’ button

If you are off-campus

For assistance forwarding calls from your work phone to a personal phone with a local number please complete the Call Forwarding Request Form.

For assistance cancelling call forwarding please complete the Call Forwarding Cancellation Form.

Phone Line Troubleshooting

If you are having trouble with your phone, here are some things to try before you call the Help Desk. This will help you determine the problem and help us fix it.

To determine whether the problem lies in the line (the telephone cable that runs through the walls and to the phone company) or in the instrument (the telephone itself), try the following:

  1. Try the instrument you experienced the problem with on another phone line that you know is working. If the problem occurred on the second line as well the problem is the instrument. Please call the Help Desk at 269.337.5800 for support. Be sure to include the telephone number of the line, a working number you can be reached at, and the location of the problem line.
  2. Try the phone line on which you experienced the problem with using another instrument that you know is working. If the problem occurred with the second instrument as well, we know that the problem lies with the line. Call the help desk at 269.337.5800 to have the line serviced. Additionally, please provide the following information: the phone number of the problem line, a phone number at which you can be contacted, and the physical location of the line.

Conference Calls

To start a meet me conference, you must use an IP phone.

  1. Lift the handset or press New Call
  2. Press “More”
  3. Press “MeetMe”
  4. Enter the conference number: 1205

Anyone else can then join the conference once it has been established.

To join the MeetMe conference from an on-campus extension, dial 1205.

To join the conference from off campus, dial 269.337.7420. The calling party will hear a greeting “Hello …. from a touchtone phone, you may dial an extension at any time.” They should dial extension 1205.

International Calling

Staff and faculty members can place international calls by following the International Calling Instructions. Please note that the information on this page is restricted to staff and faculty members only
